2. Information we collect

2.1 Information you give us

  • Contact & service-request details: name, phone number, email address, service address, project or damage description, photos or documents you upload, and preferred appointment window.
  • Insurance & claim information (when you ask us to coordinate with your carrier): policy number, adjuster name, claim number, and coverage-related details.
  • Employment-application information (if you apply for a job through this site): résumé, work history, references, and eligibility information.
  • Financing-related information (if you ask about payment plans through our financing partner, Acorn Finance): we send you to the partner's own application — we do not collect your credit information ourselves.
  • Communications: the content of emails, chat messages, form submissions, phone conversations, and text messages you exchange with us.

2.2 Information we collect automatically

  • Usage & device data: IP address, approximate location derived from IP (city/region), browser, device type, operating system, referring URL, ad or search campaign that brought you here, pages viewed, timestamps, and site-interaction events.
  • Call-tracking data: when you call a phone number displayed on this website, our call-tracking provider logs the number you dialed, your caller ID, call time and duration, and the marketing source (for example, which ad or search term led to your call). See Section 3.
  • Cookies & similar technologies: first- and third-party cookies, pixels, and tags used for site operation, analytics, call tracking, and advertising measurement. See Section 7.

2.3 Information from third parties

When you interact with us through a third-party service (for example, Google Ads, Meta, a review platform, or an insurance-carrier portal), that third party may share limited information with us (such as the ad you clicked or the review you left). Once we receive it, we treat that information under this policy.

3. Call recording & call tracking

Calls to our phone numbers may be recorded and monitored for quality assurance, staff training, dispute resolution, and marketing attribution (understanding which advertising brought you to us). We use a call-tracking service that assigns unique phone numbers to different marketing sources and logs call metadata as described in Section 2.2.

Oregon permits recording with one party's consent; Washington requires all-party consent, so calls that may involve Washington callers are preceded by an automated recording notice. By continuing a call after the recording notice, you consent to the recording. If you do not want to be recorded, tell us at the start of the call and we will continue without recording, or you can reach us by email at [email protected].

4. How we use your information

  • To respond to your service, estimate, or emergency-response request and dispatch a crew.
  • To communicate about scheduled work, invoices, warranties, and follow-ups.
  • To coordinate with your insurance carrier or adjuster at your direction.
  • To route financing inquiries to our financing partner at your direction.
  • To review employment applications.
  • To operate, secure, troubleshoot, and improve this website and our services.
  • To measure marketing performance — which ads, searches, and pages lead to calls and form submissions — so we can spend our advertising budget responsibly.
  • To send administrative and transactional messages (appointment confirmations, service updates, safety notices).
  • To comply with legal obligations (warranty records, tax records, industry regulations).
  • To establish, exercise, or defend legal claims.

5. When we share your information

We share personal information only with the categories of recipients below:

  • Service providers that host this site, send email, process form submissions, manage our CRM, provide analytics, provide call tracking and recording, or provide payment/financing infrastructure — bound by contracts to use your data only on our behalf.
  • Analytics & advertising platforms (for example, Google Analytics, Google Ads, and Meta) that receive usage data and conversion events through cookies and pixels so we can measure whether our advertising works. See Section 7.
  • Your insurance carrier, adjuster, or landlord at your direction.
  • Our financing partner (Acorn Finance), if you elect to apply for financing.
  • Legal & safety recipients when disclosure is required by law (subpoena, court order, law-enforcement request) or needed to protect the rights, property, or safety of Summit Cleaning & Restoration, our staff, our customers, or the public.
  • A successor in the event of a merger, acquisition, or sale of assets, subject to this policy.

We do not sell your personal information for money. We do not share your mobile phone number or SMS opt-in data with third parties for their own marketing. Our use of standard advertising-measurement pixels may qualify as "sharing" under some state laws; you can opt out as described in Section 8.

6. Calls & texts — your consent (TCPA)

By submitting a form on this website with your phone number — or by calling or texting us — you expressly consent to receive calls and text messages from Summit Cleaning & Restoration (including via automated systems) about your inquiry: your service request, estimate, appointment scheduling, project status, and follow-up. Your consent terms:

  • Consent is not a condition of purchase. You can always request service by phone or email instead — we simply won't text you.
  • Opt out anytime. Reply STOP to any text to stop further texts; reply HELP for assistance. You may also opt out of calls or texts by emailing [email protected].
  • Message frequency varies with your project (typically 1–10 messages per active engagement).
  • Message & data rates may apply from your wireless carrier, and carriers are not liable for delayed or undelivered messages.
  • We do not sell, share, or lease mobile opt-in data. Your number and SMS consent are used solely to communicate with you about your request.

Our texts are sent through an A2P 10DLC campaign registered with US wireless carriers. If you receive messages you didn't consent to, reply STOP or contact us and we will remove your number immediately.

7. Cookies, analytics & tracking

A cookie is a small text file a website stores on your device. This site uses cookies and similar technologies (pixels, tags, local storage) to run the site, measure performance, and improve your experience:

  • Essential cookies — required for the site to load, submit forms securely, and remember your preferences (including whether you've dismissed our cookie notice).
  • Analytics & call-tracking cookies — for example, Google Analytics and our call-tracking provider — help us understand which pages and campaigns perform and attribute your call or form to the marketing source that brought you here. These are core to how we operate and measure this website.
  • Advertising-measurement cookies & pixels — for example, a Google Ads or Meta conversion pixel that records that a service request happened after an ad click, so we can measure our advertising.

When you first visit, we display a brief cookie notice with a link to this policy. You can also control cookies through your browser settings (blocking, deleting, or limiting them) and opt out of interest-based advertising through the Network Advertising Initiative and the Digital Advertising Alliance. Blocking essential cookies may break parts of the site.

8. Your US state privacy rights

A growing number of states — including California (CCPA/CPRA), Oregon (OCPA), Colorado, Connecticut, Virginia, Utah, Texas, and Washington (My Health My Data, for health data) — give their residents rights over personal information. As a courtesy, Summit Cleaning & Restoration honors the rights below for all US visitors, regardless of which state you live in:

  • Know / access — what personal information we've collected about you, where it came from, why we collected it, and who we've disclosed it to.
  • Correct inaccurate personal information.
  • Delete personal information we've collected from you, subject to legal-retention exceptions (for example, warranty, tax, and insurance records we're required to keep).
  • Portability — obtain a copy of your personal data in a usable format.
  • Opt out of targeted advertising, any "sale" or "sharing" of personal information as defined by your state's law, and certain profiling.
  • Limit the use of sensitive personal information (we do not use sensitive personal information for purposes that trigger this right).
  • Non-discrimination — we will never penalize you for exercising a privacy right.
  • Appeal — if we decline a request, you may appeal by emailing us with the subject line Privacy Appeal.

We will verify your identity using information we already have on file and respond within the timeframe your state requires (generally 45 days). Authorized-agent requests are supported with proof of authorization.

9. Do Not Track & browser signals

We recognize the Global Privacy Control (GPC) browser signal as a request to opt out of any "sale" or "sharing" of personal information for the browser on which it is enabled, where state law requires it. We do not respond to legacy Do-Not-Track (DNT) headers because no consistent industry standard for them has been adopted; this disclosure is provided as required by California law.

10. Children's privacy (COPPA)

This website is directed at adults — property owners and managers — and is not directed at children under 13. We do not knowingly collect personal information from children under 13, consistent with the Children's Online Privacy Protection Act (COPPA). If you believe a child has provided us personal information, contact us at [email protected] and we will delete it promptly.

11. Data retention

We keep personal information only as long as we need it for the purposes above. Project and customer records are kept for the duration of the engagement plus the periods required by our warranty obligations, insurance obligations, and tax/legal record-keeping rules (typically 7 years for financial records; longer where a specific warranty or code requirement applies). Call recordings are retained on our call-tracking platform's standard schedule and then deleted. Employment-application data is retained per applicable EEO record-keeping rules. Website analytics is retained for the shorter of the platform default and 24 months. When retention expires, we delete or anonymize the data.

12. Security

We use reasonable administrative, technical, and physical safeguards to protect the information we hold. No system is 100% secure, however, and we cannot guarantee absolute security. If a breach occurs that affects your information, we will notify you in accordance with applicable state and federal law.

13. Third-party links

This website may link to third-party sites (an insurance carrier, our financing partner, a review platform, social media). This policy does not cover those sites, and we are not responsible for their privacy practices. Read each third party's own privacy policy before submitting information there.

14. US audience & governing law

Summit Cleaning & Restoration operates in the United States and this website is intended for US visitors. If you access it from outside the United States, your information will be processed in the United States, where privacy laws differ from those in your country. This policy and any dispute arising from it are governed by the laws of the State of Oregon, without regard to conflict-of-law rules, as described in our Terms & Conditions.

15. Changes to this policy

We may update this policy from time to time; the latest version always lives on this page, with the effective date shown at the top. Material changes will be flagged at the top of the policy for at least 30 days.
