Commercial Water Damage: A Facility Manager's Guide

A commercial water loss is two emergencies at once: the building, and the business inside it. The facility manager owns both — and the difference between a disruptive week and a devastating month usually comes down to decisions made before and during the first day.

This guide covers the commercial-specific layer: continuity triage, stakeholder documentation, phased work in occupied buildings, and the vendor arrangements worth making on a calm day.

What's different about commercial losses?

Scale and stakes. Commercial systems move more water (larger supply lines, roof drains, fire suppression), buildings hide it better (ceiling plenums, chases, multiple floors), and every wet hour has a revenue meter running. Add stakeholders — ownership, tenants, insurers, sometimes a corporate risk office — and the FM is running a small incident command.

The response has to match: commercial-capacity extraction and drying, work phased around operations, and documentation clean enough for multiple audiences.

What does first hour triage look like in an occupied building?

The commercial first hour:

  • Life safety: clear affected areas; assess electrical exposure before anyone works in water
  • Source control: isolate the supply zone or system — know your valve map before you need it
  • Asset protection: move or elevate inventory, records, and equipment in the water's path
  • Documentation: photos and video before cleanup, incident timeline from the first alarm
  • Notifications: ownership, carrier, affected tenants — early and factual
  • Dispatch: get commercial-capable extraction moving in parallel with all of the above

How does drying work without shutting the business down?

Phased containment. Commercial drying is planned in zones — contain and dry affected areas while adjacent zones operate, schedule loud or disruptive phases off-hours, and re-sequence as zones clear. It's slower on paper than emptying the building, and much faster in business-days lost.

The prerequisite is a contractor with enough equipment and crew depth to run zones in parallel. Build the file once — incident timeline, photo record, moisture maps, daily drying logs, scope and change documentation — and report from it to everyone.

  1. Drywall above the water line

    Often invisible

    Standing water wicks up through drywall well above the stain you can see, so a 2-inch puddle can mean 2 feet of wet wall.

    Summit: We map the true moisture line with meters and dry or remove drywall to that line — not just to the visible stain.

  2. Wall-cavity insulation

    Often invisible

    Fiberglass insulation inside the wall soaks up water, compresses, and holds moisture against the framing long after surfaces feel dry.

    Summit: We open the cavity where readings call for it, remove saturated insulation, and dry the framing directly.

  3. Subfloor & underlayment

    Water slips between flooring layers, swelling the underlayment and subfloor beneath finishes that still look fine on top.

    Summit: We lift flooring where needed and dry or replace the subfloor so the new floor goes down on a sound, dry base.

    Hardwood boards absorb moisture from below and curl upward at the edges — cupping you can see and feel underfoot.

    Summit: Caught early, specialty drying mats can often save cupped hardwood instead of tearing it out.

    Water pools in the enclosed void under cabinets, where it can't evaporate and quietly damages the cabinet base.

    The wood plates at the base of every wall sit right in the water path and can be critically wet within the first hour.

  7. Crawl space pooling & vapor

    Water finds the crawl space, where it pools on the vapor barrier and feeds humidity back up into the house for weeks.

  8. HVAC ducts

    Wet ductwork spreads humidity — and anything growing in it — to every room the system serves.

Questions we hear about this

Who should call the restoration company — us or the property owner?

Whoever can authorize emergency mitigation fastest; sort authority out in advance. Delay is the expensive option — policies expect prompt reasonable steps to prevent further damage, and revenue clocks don't pause for org charts.

Can employees do the initial water cleanup?

Clean-water puddle-scale, with electrical safety confirmed — reasonably. Anything involving saturated materials, ceiling systems, unknown water sources, or more than a mop's worth is professional work, for both safety and insurance-documentation reasons.

Does business interruption coverage start automatically?

It responds per your policy's terms — typically tied to covered physical damage and often with waiting periods. Document the operational impact from day one (closed areas, lost operating days) so the BI claim has a record to stand on.

How do we handle tenant spaces our lease doesn't control?

Notify affected tenants immediately and coordinate access — water ignores lease lines, and drying one suite while its neighbor stays wet fails both. The containment plan should treat the water's actual footprint, with documentation per space for the respective carriers.
